Planning Access for an NDT Appointment

Booking a visitor onto a site does not establish that the agreed components will be accessible for NDT. The administrative task is to identify who can confirm access arrangements and communicate limitations before attendance. Technical preparation must be agreed with the responsible specialists, not inferred from a general website checklist.

Separate site entry from component access

Site entry covers matters such as permission to attend, the meeting contact and local visitor arrangements. Component access concerns the actual work proposed and must be defined by the people responsible for its scope and execution. A confirmed gate pass answers only the first question.

Give the provider the asset identifiers and the requested report purpose. Ask it to specify which access assumptions need discussion. Do not describe equipment as ready merely because it is parked at the nominated address.

Make responsibilities explicit

The asset owner, workshop, site controller and testing provider may each control a different part of the appointment. Ask who will coordinate the necessary conversations and who has authority to confirm the arrangements. If another contractor is involved, record that dependency rather than treating their attendance as automatic.

Keep technical requirements in the agreed scope or specialist instructions. This article intentionally does not explain coating removal, dismantling, lifting, isolation or test preparation. Administrative staff should not invent work instructions to resolve an unanswered access question.

A coordination list

  • Provider contact responsible for the proposed NDT scope.
  • Owner contact authorised to discuss changes.
  • Site or workshop contact controlling attendance.
  • Person responsible for confirming agreed access arrangements.
  • Method and deadline for reporting an unresolved limitation.

Ask what confirmation is needed before attendance

Request a clear statement of what the provider needs to know before confirming the visit. If a required arrangement is still pending, report that status plainly. A photograph already held in the asset file may help explain a question, but do not collect new evidence in an unsafe manner or attempt preparation solely to improve an enquiry.

Confirm the process for rescheduling if access cannot be agreed. Ask how unavailable areas would affect the proposed scope and report, rather than assuming the same outcome can be delivered in less time.

Give changes one communication route

If the unit moves, the site contact changes or the planned scope is revised, send one current update to all responsible parties. Include the proposal reference so the change can be tied to the correct appointment.

After attendance, check whether the supplied documentation identifies any scope limitations that arose. Administrative confirmation that someone attended should not be represented as confirmation that every planned examination was completed.
