Missing Pump History: Preparing an Evidence-Gap Brief

An incomplete history is not the same as a history showing no defects. A useful evidence-gap brief tells a professional what you have, where it came from and what remains unknown. It is a one-off handover for an uncertain file, not a substitute for routine logbook management or an assessment of the equipment.

Distinguish missing, incomplete and unverified

‘Not supplied’ means a document has not reached you. ‘Incomplete’ means you have only part of it. ‘Identity uncertain’ means you cannot confidently connect it to this unit. ‘Unverified statement’ means someone has described work but you do not hold supporting evidence. These labels communicate different problems and should not be merged into ‘history available’.

Do not infer that an inspection never occurred because the report is missing. Equally, an invoice mentioning inspection is not necessarily the inspection report. State exactly what the record is and let the professional decide its significance.

Create an evidence register without reconstructing events

Give each document an identifier and preserve the original filename in your index. Note the apparent date, asset reference, source and missing parts. If a fleet number changed, record both identifiers and the evidence connecting them rather than silently renaming every file.

Keep a separate list of statements made by previous owners or other parties. Attribute each statement and indicate whether it is supported by a document. Avoid rewriting those statements as confirmed maintenance history.

Suggested register columns

  • Record name and source.
  • Date shown in the record, or ‘date not shown’.
  • Asset or component identifier as written.
  • Completeness and identity confidence.
  • Question requiring professional review.
  • Person who may be able to supply clarification.

Show contradictions rather than resolving them yourself

If two reports show different serial numbers, dates or component descriptions, include both references in the brief. A plausible explanation may exist, but choosing one without support hides information the reviewer needs.

Explain any document conversion, translation or redaction that could affect interpretation. Keep original copies available through an agreed secure channel. There is no need to collect new physical evidence or recreate events to make the brief look complete.

End with a specific review question

Instead of asking ‘Can you certify this pump?’, ask which uncertainties need to be resolved before a proposed assessment can be scoped. Name the decision you are trying to make, such as commissioning an inspection or preparing documents for another party.

The reply may identify additional records, a different assessment or limitations that cannot be removed. Track the response against each gap without changing the original source. A well-organised file helps discussion; it does not prove compliance, condition or suitability for continued use.
